Run an expression-of-interest form
Who does this: an Admin or Owner, typically in the off-season, before registration proper opens.
An expression of interest (EOI) is a registration form with a different purpose tag. Everything else is the same: the form builder, the profile section, the team picker, the queue. The tag keeps it off your public registration page, so it is reached only by the link you hand out. Clubs use this for pre-season interest, coach and volunteer recruitment, and trial sign-ups.
Before you start
Section titled “Before you start”- A season to attach the form to. Applicants’ answers and the team picker come from it, so if next season is the target, create it first (it does not need to be Active).
- Your teams or age groups for that season, if the form should ask which one the applicant is interested in.
- One list of questions per audience. A single branching form does not exist in ClubEzy; make one form per audience instead. Gladesville Ryde Magic Football Club (GRMFC), for example, replaced one branching form with three: Player EOI, Coach EOI and Team Staff / Volunteer EOI.
Build one form per audience
Section titled “Build one form per audience”- Go to Registrations → Registration Forms and click New Form Template.
- Name it for the audience, for example
Player EOI 2027, and write a Description the applicant will see. - Set the Target Audience (Player, Coach, Official, Volunteer or All).
- In Purpose tags, remove the default registration chip and add your own, such as
eoi. The hint under the field says what that does: only forms tagged registration are listed on the public season page. - Move on to the questions. The Profile details section (name, date of birth, email, phone, address, emergency contact) is always included, so do not ask for those again.
- Add your own questions. Useful ones from real EOIs:
- Season team picker for “which age group are you interested in?”. Its options are your season’s teams, and the answer links the applicant to a real team. For coaches, use a multi-select so they can pick several.
- Playing position, preferred foot, previous clubs, representative experience, a link to footage.
- For coaches: qualifications (a multi-select list), Working With Children Check number, experience, why this club.
- For volunteers: the role they are interested in (team manager, trainer, physio, media, other).
- Consents: communications, media, a final declaration. Make the declaration required.
- Preview as an adult and as a parent registering a child, then Create & Activate.
Attach the forms and share the links
Section titled “Attach the forms and share the links”- Open each form again and, under Where this form is used, tick the season. (Or go to Seasons → the season → Settings → Forms used this season.)
- Turn on Registrations Open for the season.
- On the Registration Forms list, choose Share link & QR for each form. Share the per-form link, not the season link. The per-form link opens that form directly; the season link shows the public picker, which does not list your EOI forms.
What happens next
Section titled “What happens next”Submissions arrive in Registrations with the status Submitted, exactly like registrations, and you can filter by form. From there the normal actions apply: Invite with a squad or train-on place when the season starts, Decline, or leave them until trials. Applicants get “Registration Submitted!” and, if they are new to ClubEzy, an email to set up their account so they can follow the outcome.
If something goes wrong
Section titled “If something goes wrong”- The form shows on the public registration page. It still has the registration tag. Edit the form and remove that chip.
- The team picker lists a group that is not a team. Every group in the season appears there. Rename or remove the stray group under Teams / Groups.
- “Nobody can open this form yet.” The form is not attached to a season, or the season’s registrations are closed.
- You want one form with branches. Build one form per branch and share three links. The shared questions (consents, declaration) go on each.
