Work the registrations queue

Who does this: an Owner, Admin or Manager, regularly while registrations are open. The dashboard shows a banner, “n registrations awaiting a decision”, whenever there is work here.

  • Select the season.
  • Know which team each applicant belongs in. Most decisions here are “yes, and in this team”.
Status Meaning
Submitted Received, nothing decided yet.
Trialling Checked in to a trial, outcome not decided.
Invited You have made an offer and it is waiting on the applicant.
Accepted The offer was accepted; they are a member now.
Declined You said no. They can be re-invited.
Offer withdrawn You took back an offer. They can be re-invited.
Offer declined The applicant turned the offer down. They can be re-invited.
Withdrawn The applicant pulled their registration.

The same key is behind the info button next to the Status filter.

  1. Go to Registrations. The header shows the totals; filter by Status, Team or search by name.
  2. Open a registration’s ⋮ menu, or click through to View Details to read the answers first.
  3. Choose one of:
    • Invite to make an offer. Pick Squad place or Train-on place (train-on players join training and team chat but are left off match selection), choose the Team, and send. The status becomes Invited.
    • Add Directly (skip invite) to make them a member immediately, with no offer email. Use this for people you have already spoken to.
    • Decline to say no. Write a short reason; it is included in the email.
  4. If circumstances change while an offer is out, Withdraw offer takes it back. Re-Invite and Resend Invite do what they say.

Export CSV downloads the current list, and Trial Desk is the check-in screen for trial days (see Run your season).

  • Invite sends “You’re invited to join {club} on Clubezy” (or, for a child, “{child} is invited to join {club} on Clubezy” to the parent). Accepting the link adds them to the season and team. The status moves to Accepted and they appear on the team’s roster.
  • Decline sends “Your registration with {club}” with your reason.
  • Add Directly sends nothing about the registration; they simply appear as members.

New members land in the app with the team already in place. Next: get your members onto the app.

  • An offer was accepted but they are not on the roster. Check the team on the registration; if none was chosen, open the team and use Add Players.
  • A parent registered a child and the offer went to the parent. That is by design for anyone under 18: the parent accepts on the child’s behalf.
  • The applicant is missing a team. The Trial State filter has a Missing Team option; invite them with a team set.
  • You need to take payment. ClubEzy does not take payments. Record fees your own way and use the Paid tick on the member’s compliance checklist to track it.
